This Privacy Policy explains how SteadyRing ("SteadyRing," "we," or "us") collects, uses, and shares personal information when you use our website, dashboard, and AI receptionist service (the "Service"). It applies to two groups of people:

  • Our customers: business owners and staff who create an account and use the Service.
  • Callers: people who phone a business that uses SteadyRing, and speak with its AI receptionist, Rick.

We do not sell your personal information, and we do not share it for advertising. The rest of this page explains the details.

1. Information we collect

From our customers

  • Account information: your business name, email address, and password (stored in a protected form).
  • Business details you enter: phone number, address, service area, hours, services and prices, FAQs, greeting, call-handling rules, and other settings and notes for your AI receptionist.
  • Integrations: if you connect Cal.com, the calendar details and the API key you provide. We store the key securely and don't show it again.
  • Billing information: your payment card is handled by our payment processor, Stripe. We don't receive or store your full card number. We keep your plan, subscription status, and billing dates.
  • Support messages: what you send us when you contact support.

From callers

When someone calls a business that uses SteadyRing, we and our providers receive the caller's phone number, the time and length of the call, and what is said during the call. Depending on the business's settings, that includes an audio recording and a transcript. We also create a summary of the call and note details such as the caller's name (if given), what they needed, whether they may be a new customer, and any appointment booked.

When you use our website, our servers and security systems receive your IP address, browser and device type, the pages you visit, and the times of your visits. See our Cookie Policy for cookies.

2. How we use information

  • To provide the Service: answer calls, take messages, book appointments, and show call information in your dashboard.
  • To create your account, process payments, and manage your subscription.
  • To email you about your account, receipts, service changes, and support replies.
  • To keep the Service secure, prevent fraud and abuse, and fix problems.
  • To improve the Service, for example by looking at how features are used.
  • To follow the law and enforce our Terms.

We don't use call recordings or transcripts for advertising or marketing.

3. AI and our service providers

Rick is powered by artificial intelligence. To answer calls, transcribe speech, and write summaries, we use AI voice and language services run by other companies. They process call content on our behalf to provide the Service.

4. How we share information

We share personal information only in these ways:

  • With the business a caller phoned. Call information belongs to the business that owns that phone line, and it appears in that business's dashboard.
  • With service providers that help us run the Service: Retell AI (voice, phone numbers, and call processing), Supabase (database and sign-in), Cloudflare (hosting, security, and DNS), Stripe (payments), Resend (email delivery), and Cal.com (scheduling, only if you connect it). They may use the information only to provide their services to us.
  • For legal reasons: to comply with the law or a valid legal request, to protect the rights, safety, or property of our customers, callers, or us, or to investigate fraud or abuse.
  • In a business change: if we merge with, are acquired by, or sell part of our business, information may transfer as part of that deal.

We do not sell personal information or share it for cross-context behavioral advertising. Because of that, browser signals such as Global Privacy Control don't change how we handle your information.

5. If you are a caller

The business you called decides why its calls are answered by an AI receptionist and how they are used. We process call information on that business's behalf. The business is responsible for telling you if a call is recorded. For questions about a call, or to ask for your information to be corrected or deleted, contact the business you called. You can also write to us at support@getsteadyring.com, and we will pass your request to the right business or help you directly.

6. How long we keep information

We keep account information for as long as your account is open. We keep call recordings, transcripts, and summaries for as long as the business that owns them needs them to use the Service, unless it or you ask us to delete them sooner. After an account closes, we keep information only as long as we need it for legal, tax, security, and accounting reasons, and for routine backups.

7. Security

We use safeguards such as encrypted connections (HTTPS), access controls that limit each customer to their own data, and secure storage of secret keys. No system is completely secure, so we can't guarantee absolute security.

8. Your privacy rights

Depending on where you live (including California, Utah, and other states with privacy laws), you may have the right to:

  • know what personal information we have about you, and get a copy;
  • correct information that is wrong;
  • ask us to delete your personal information;
  • opt out of the sale or sharing of your information for advertising (we do neither); and
  • not be treated unfairly for using these rights.

To make a request, email support@getsteadyring.com. We may need to confirm your identity first. You can also use an authorized agent. We will respond within the time the law requires, which is generally 45 days. If we decline a request, you may reply to ask us to reconsider. Customers can also view and change much of their information directly in the dashboard.

9. Children

The Service is for businesses and is not meant for anyone under 18. We require people to confirm that they are 18 or older when they sign up, and we do not knowingly collect personal information from anyone under 18 through our website. If you think a child has given us information, contact us and we will delete it.

10. Where information is processed

We run the Service from the United States, and your information is processed and stored there and in other places where our providers operate. Our Service is intended for use in the United States.

11. Changes to this policy

We may update this policy. When we do, we will change the date at the top and, for important changes, tell you by email or in your account.
